Hiring: Supply Chain Operations Manager/Operations Manager

Your ultimate responsibility is to increase our operational efficiency in the Warehouse/Fulfilment/Logistics and Supply Chain, Inventory Control and Business Operations Department.


Objectives of this Role:

  • People: Manage and maintain a highly motivated operations team and ensure that everyone on your team is cultivated, coached, growing and contributing to their full potential.
  • Operations / Day-to-day function: Maintain constant communication with management, staff, and vendors to ensure the proper running of the business, inventory management, warehousing, shipping and receiving of incoming goods. Ensure operational activities remain on time and within a defined budget. Supply-chain and logistics.
  • Quality and Standards: Develop, implement, and maintain quality assurance protocols by setting up the QC SOP and QC department for the company to ensure the company is hitting its quality expectations and standards
  • Financial / Costs Management: Ensure that the company is optimising and cost-effective by analysis and creating reports and working closely with the Finance team.

Scope:


People/Team management:

  • Lead, motivate, and support an Operations team within a time-sensitive and ever changing retail environment, including setup and implementation of career development plans for all direct reports including training, assigning tasks and goal setting/KPI setting, scheduling regular catch-ups and 1-on-1s, coaching, counselling, and discipline employees when necessary
  • Work close with HR to interview, recruit and hire new team members to join the company in the operations / QC department
  • Maintain safe and healthy work environment by establishing, following, and enforcing standards and procedures; complying with legal regulations and running a safe, injury/accident free workplace

Operational / Logistics / QC:

  • Develop, improve and maintain operations systems by determining picking, packing, product handling and storage requirements; develop, implement, enforce, and evaluate existing policies and procedures for receiving product, equipment utilisation, inventory management, supply chain and shipping. 
  • Utilising the inventory management system to improve operational efficiency and transparency of incoming and outgoing stock movements and to identify and maintain resources needed to establish and provide an accurate and effective supply chain.
  • Work with the Merchandising team to monitor, track and follow up on incoming and outgoing shipments to ensure timely delivery and effective communications with our suppliers. 
  • Perform inventory count and QA/QC for all incoming and outgoing stocks, compiling QA/QC reports and submitting to suppliers for follow up when required.
  • Procurement of all warehouse supplies such as packaging, shipping boxes, stationery and materials that the brand requires on a day to day
  • Work with the Merchandising team to monitor the performance of suppliers, assessing their ability to meet quality and delivery requirements; identifies new suppliers in collaboration with other departments.
  • Supporting the Marketing and Merchandising team to ensure the successful implementation and operation of special events at the warehouse, office or at external venues (e.g. Sample Sales/Warehouse Sale/Pop Up Flea Market Events (if any))
  • Oversee efficient space management at the warehouse for inbound and outbound goods, packaging and equipment
  • Responsible for all aspects of vehicle and heavy equipment rentals (if any)
  • Maintain and manage positive relationships with key operations vendors and suppliers 

Financial / Reporting and Analysis:

  • Manage timely data collection to update operations metrics to achieve productivity targets, reduce cost per unit, eliminate errors and discrepancies
  • Partner with cross-functional support teams in improving the proprietary tools and systems
  • Conduct budget reviews and report cost plans to upper management
  • Examine financial data and use them to improve profitability
  • Manage, meet or exceed operations labour budget expectations by managing staff levels, wages, hours, contract labour to revenues and forecast
  • Track vendor and shipping partner’s pricing, rebates, and service levels
  • Review and approve all operational invoices and ensure they are submitted for payment
  • Work closely with the Merchandising team to perform analysis of our inventory and ensure we are utilising our inventory effectively, purchasing the right equipment, maintaining solid inventory data, and reduce sub-rental expenses

Skills and Qualifications

  • Bachelor’s degree in operations management, business administration, logistics management/supply chain or related field with minimum of 2 years experience in operations or supply chain management experience OR 
  • Diploma in logistics management or similar field with minimum 5 years experience in operations or supply chain
  • Experience in retail or e-commerce a plus
  • Strong budget development and oversight skills
  • Excellent ability to delegate responsibilities while maintaining organisational control of branch operations and customer service
  • Highly trained in conflict management and business negotiation processes
  • Working knowledge of inventory management software programs and aptitude to learn new applications; proficiency in Microsoft Office (Word, Excel, Outlook)
  • Strong IT skills, including database and platform development or integration
  • Experience in financial and account reporting a plus
